Short answer: yes, a chatbot can read a bank statement and give you a table. For a quick look at one month, that may be all you need. For bookkeeping, the hard part isn't reading the statement. It's knowing whether what came back is complete.
Where a chatbot answer goes wrong
An AI model reading a statement can drop a row at a page break, read a debit as a credit, or shift a date. The wrong answer looks just as tidy as the right one, and nothing in the reply tells you a row is missing. You find out when the reconciliation doesn't tie out, often after the numbers are already in the ledger. Long statements, tables that run across pages and scanned pages all give it more chances to slip.
PDFDrill uses AI too. The difference is the check.
To be straight about it: PDFDrill also uses an AI model to read statements (Security). What it adds is what happens after the reading:
- Balance check to the cent. Opening balance plus every extracted transaction is compared with the statement's closing balance. You see PASS or FAIL, and the difference in dollars.
- Missing months. Upload a run of statements and each closing balance is compared with the next opening balance, so a gap stands out.
- Duplicates flagged and automatically excluded. Overlapping statements can repeat transactions. PDFDrill marks matching rows and leaves them out of transaction exports. The Excel reconciliation sheet lists the excluded rows.
- Every row points to its page. Open the source page for any row, fix a date, description or amount, and the checks re-run straight away.
- Files your ledger takes. Excel and CSV on every plan; Xero CSV, QuickBooks CSV and QuickBooks Online Web Connect (.QBO) from Pro.
- Files don't hang around. Outputs and source files are deleted on a schedule. File retention.
What PASS doesn't prove
A PASS means the transactions add up to the closing balance. It doesn't check each description or date, and two errors that cancel each other out would still pass. It's a strong signal, not a guarantee. What PASS and FAIL mean.
If you do use a chatbot
- Check your plan's data settings before you upload a client's statements.
- Add up the transactions and compare them with the statement's opening and closing balances.
- Count the rows on each page against the statement.
- Watch the signs: debits and credits are easy to swap.
- Work one month at a time.
When PDFDrill is worth it
If you convert statements for clients, catch up on months of bookkeeping, or need a closed account's history for tax season, the balance check saves the time you'd spend checking a chatbot's work line by line.
