Balance and continuity checks, explained

Reconciliation checks are visible review signals—not a promise that every source row is error-free.

Statement balance

For each statement, opening balance + extracted transaction amounts is compared to the closing balance to the cent. A mismatch shows PASS or FAIL with its difference for your review.

Account continuity & overlaps

Within the same account, a statement's closing balance is compared with the next opening balance. Overlapping transactions are marked as duplicates rather than silently removed.

Printable reconciliation summary

A printer-friendly statement and account check summary for the client file.

The QuickBooks 4-column bank-import layout uses Credit for money out and Debit for money in. Those labels follow QuickBooks' bank-import convention; the generic ledger's Debit and Credit columns retain their normal ledger meanings.

Retention and deletion

Source PDFs expire 7 days after batch creation; extracted ledger data expires after 30 days. Automatic cleanup removes expired files and data. You can delete a batch sooner. Read about Statements to Ledger security and data handling.

How do I convert bank statements to a ledger?

Upload a batch of client statement PDFs. PDFDrill extracts transactions, groups statements by account, checks the balances and overlapping periods, then lets you review flags and export.

What does the balance check do?

For each statement, the opening balance plus the extracted transactions is compared with the printed closing balance. A mismatch is reported with its difference; it is not silently treated as reconciled.

How are continuity and duplicates handled?

Statements in the same account are checked for closing-to-opening balance continuity. Repeated transactions in overlapping periods are marked as duplicates for review rather than silently disappearing.

Which export formats are available?

Depending on your plan, exports include an Excel workbook, generic CSV, Xero bank statement CSV, QuickBooks-ready CSV layouts, and a printable reconciliation summary.

How long are source PDFs and extracted data retained?

Source PDFs expire 7 days after batch creation. Extracted ledger data expires after 30 days. Automatic cleanup removes expired files and data; a batch can also be deleted sooner.
