Terms of Service
Last Updated: 2026-10-06
Kalata Group LLC, doing business as PDFDrill ("PDFDrill"). These Terms of Service ("Terms") govern your access to and use of our AI-powered PDF conversion platform, including our website, applications, and API services (collectively, the "Service"). By using PDFDrill, you agree to these Terms. Please read them carefully.
1. Description of Service
PDFDrill provides AI-powered document processing services that convert PDF files into various formats including:
- Text extraction - Clean, formatted text with AI-powered cleanup
- Excel/CSV conversion - Structured table data extraction
- JSON export - Structured data in machine-readable format
- Image extraction - Extract embedded images from PDFs
- OCR processing - Text extraction from scanned documents using available OCR models
The Service is available through our web interface and developer API, subject to the terms and limitations of your subscription plan.
2. Account Registration & Security
To access the Service, you must create an account. You agree to:
- Provide accurate, current, and complete registration information
- Maintain and promptly update your account information
- Keep your password confidential and secure
- Passwords must be at least 8 Unicode characters and no more than 72 UTF-8 bytes. A longer passphrase is stronger.
- Notify us immediately of any unauthorized access to your account
- Accept responsibility for all activities under your account
We reserve the right to suspend or terminate accounts that appear to be compromised or that violate these Terms.
3. Subscription Plans & Billing
3.1 Subscription Tiers
PDFDrill offers the following subscription plans:
- Free ($0/month): 10 pages per month; All formats, OCR
- Starter ($19/month or $190/year): 150 pages per month; All formats, OCR, Batch upload
- Pro ($39/month or $390/year): 500 pages per month; All formats, OCR, Batch upload, Priority processing, Excel/CSV/JSON/QuickBooks CSV & Web Connect (.QBO) exports
- Business ($99/month or $990/year): 2,000 pages per month; All formats, OCR, Batch upload, Priority processing, Full API access, Webhooks, Priority support
- Enterprise: Custom page volume; Custom integrations, SLA, Done-for-you automation
- Pay-As-You-Go Page Packs: Packs start at $5 for 50 pages; purchased pages never expire.
A page is each page in a PDF that is successfully processed. Quota is measured in pages, not files. Failed or errored conversions do not consume pages. Available monthly plan quota is consumed first, followed by purchased pages. If the requested PDF exceeds your remaining plan quota and page-pack balance, the job cannot proceed until you add pages or change plans.
3.2 Billing
Paid subscriptions are billed monthly or annually through Stripe, our secure payment processor, and automatically renew at the selected interval unless cancelled. Paid page quotas reset monthly on the Stripe subscription anniversary date, including for annual subscriptions; annual billing does not combine a year's allowance into one quota. Free plan quota resets on the first day of each calendar month.
3.3 Cancellation & Refunds
You may cancel your subscription at any time through your account settings. Cancellation takes effect at the end of your current billing period. We offer refunds within 7 days of purchase if you have used less than 10% of your monthly page allocation. If the service did not work as described, for example statements that could not be converted, we may issue a full refund at our discretion, including outside these limits. To request a refund, email support@pdfdrill.com from your account email.
3.4 Pay-As-You-Go Page Packs
Page packs are one-time purchases that never expire. Purchased pages are consumed only after your monthly plan quota is exhausted. Unused purchased pages carry over between billing periods. Page-pack purchases are non-refundable once any included pages have been used.
3.5 Price Changes
We may modify pricing with 30 days notice. Existing subscribers will be notified by email before any price changes take effect. Page-pack prices may be adjusted at any time for new purchases; already-purchased pages are not affected.
4. API Access & Usage
API access is available for Business accounts and Enterprise accounts enabled by manual flag. The API shares your account's page quota and consumes plan pages before purchased pages. By using our API, you agree to:
- Keep your API keys confidential and secure
- Not share API keys with unauthorized parties
- Implement reasonable security measures in your applications
- Respect rate limits (100 requests/minute for API-enabled Business and Enterprise accounts)
- Not attempt to circumvent usage limits or security measures
API keys are hashed and stored securely. You can regenerate or revoke keys at any time through your dashboard. We reserve the right to disable API access for accounts that violate these terms or exhibit suspicious activity.
5. Acceptable Use Policy
You agree NOT to use the Service to:
- Upload, process, or store illegal, harmful, threatening, or offensive content
- Process documents containing child exploitation material
- Violate intellectual property rights or confidentiality obligations
- Upload malware, viruses, or malicious code
- Attempt to reverse engineer, decompile, or hack the Service
- Use automated systems to abuse the Service or circumvent limits
- Share account credentials or API keys with unauthorized users
- Resell or redistribute the Service without authorization
- Use the Service for any unlawful purpose
We actively monitor for abuse and reserve the right to immediately suspend accounts that violate this policy without prior notice.
6. Content & Intellectual Property
6.1 Your Content
You retain all ownership rights to the PDF documents you upload and the converted output files. By uploading content, you grant us a limited license to process, store (temporarily), and deliver the converted files to you.
6.2 Our Intellectual Property
The Service, including its software, algorithms, user interface, logos, and documentation, is owned by PDFDrill and protected by copyright, trademark, and other intellectual property laws. You may not copy, modify, or distribute any part of the Service.
6.3 Responsibility for Content
You are solely responsible for ensuring you have the right to upload and process any documents. We do not review uploaded content and assume no liability for its legality or appropriateness.
7. Data Processing & Privacy
Your privacy is important to us. Key points about how we handle your data:
- Standard conversion source PDFs are removed after processing; generated outputs expire 24 hours after job creation and are unavailable for download after expiry. Startup and periodic retention sweeps delete them; if the application is offline at expiry, physical cleanup runs on next startup.
- Document content may be processed through OpenAI's API, which does not use API data to train its models and may retain it for up to 30 days for abuse monitoring unless longer retention is required by law
- Files are stored privately; encryption at rest has not been independently verified across our storage modes
- We do not share your documents with third parties except as necessary to provide the Service
- Payment information is processed securely by Stripe
For complete details, please review our Privacy Policy.
8. Disclaimers & Limitations

TO THE MAXIMUM EXTENT PERMITTED BY LAW, PDFDrill SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, DATA, OR BUSINESS OPPORTUNITIES. OUR TOTAL LIABILITY SHALL NOT EXCEED THE AMOUNT YOU PAID FOR THE SERVICE IN THE PRECEDING 12 MONTHS.
8.4 Indemnification
You agree to indemnify and hold harmless PDFDrill from any claims, damages, or expenses arising from your use of the Service, violation of these Terms, or infringement of any third-party rights.

10. Governing Law & Disputes
These Terms are governed by the laws of the State of Delaware, United States, without regard to conflict of law principles. Any disputes arising from these Terms or your use of the Service shall be resolved through binding arbitration in accordance with the rules of the American Arbitration Association.
For users in the European Union, nothing in these Terms affects your rights under applicable consumer protection laws.
11. Changes to These Terms
We may update these Terms from time to time to reflect changes in our Service or legal requirements. We will notify you of material changes by:
- Posting the updated Terms on this page
- Updating the "Last Updated" date
- Sending an email notification for significant changes
Your continued use of the Service after changes take effect constitutes acceptance of the revised Terms.
